Tech VA Support

Your systems, set up properly and running quietly in the background

I'm a tech VA who specialises in GoHighLevel (GHL). I build and look after the systems behind your business, so your sign-ups, bookings, emails and follow-ups happen without you having to chase them. I can also look after the everyday marketing that keeps you visible, like social media posts and newsletters.

I run my own businesses on these same systems, so everything I do for you has been tested in real life first.

How I can help

GHL setup and automation

  • Setting up your account, contacts, tags and pipelines
  • Workflows for welcome sequences, booking confirmations and reminders
  • Order forms, payment plans and e-contracts
  • Landing pages, forms and funnels
  • Connecting your website to GHL
  • Tidying up an account that has grown messy

Communities

  • Setting up a members' community with topics, welcome posts and house rules
  • Giving people access automatically when they buy, and removing it when they leave
  • Moving your Facebook or WhatsApp group into a calmer space you own

Social media and newsletters

  • Social media planning, writing and scheduling for Facebook and Instagram
  • Email newsletters and campaigns, from writing to sending to the right list
  • Content calendars, so you always know what's going out next

Examples of my work

Pipelines

  • Markets: Every market has its own pipeline (Booked, Arrival info sent, Attended, No-show, Cancelled). When a trader books a pitch on my website, a card appears automatically, so I can see who's coming at a glance.
  • Events: For a membership business, I built separate attendee and sponsor pipelines, fed by their order forms. They track ticket sales against targets.
  • Memberships: I built pipelines for members and local representatives, so a business owner can see who's paying, who referred them and who has left.

Tags

  • Traders: Tags show whether a trader is pending, approved or booked on a particular date. They change automatically as the trader moves through the process.
  • Subscriptions: Each subscription box has its own tag, so I know who gets what.
  • Members and guests: I separated member and guest tags so the weekly email only reached current members. I also added descriptions to the tags, so nobody has to guess what each one means.
  • Cohorts: Tags for current cohort, next cohort and alumni keep the right people in the right group.

Contacts

  • Created automatically: Trader applications, market bookings, course orders and subscription sign-ups all create or update a contact, with no typing in.
  • Imported: I brought existing traders and members across by CSV, with the right tags and pipeline stages already applied.
  • Tidied: I merged duplicates and removed leavers' tags. I also matched a separate member app against the CRM, so both lists agreed.
  • Custom fields: Dropdown fields record which representative a member belongs to and who they originally signed up under.

Workflows and forms

  • Trader approval: Approving a trader adds them to the traders' community and sends a welcome email.
  • Contracts and payment plans: An order form offers pay-in-full or instalments, a contract is sent automatically, and signing triggers the welcome emails.
  • Referrals: Each representative has their own link and code, and commission is tracked without spreadsheets.
  • Joining and leaving: Members get community access when they buy, and lose it with their tags when they cancel.
  • Notifications: I get an email when a course is ordered or a new subscriber arrives, so nothing slips through.

Communities and courses

  • A traders' community: I've just built a private community for the traders at my markets, with topics for market day info, kit swaps, tips and stall promotion. Approved traders are added automatically and get a welcome email.
  • Moving a paid community into GHL: For a client, I moved a six-month paid programme off a separate platform. It now has its own classroom, live sessions recorded straight into the community, and a calm digest instead of constant pings.
  • My 30 Day Plant Transformation programme: Members get their lessons through automatic drip feeds in an online course, so each day's content arrives when it should. A community sits alongside it for support and motivation. I know from the inside what keeps people engaged.

Social media and newsletters

  • Social media for a local artisan market: Before each market, I plan and schedule one post per stallholder, so every trader gets their own spotlight, even those with no social media of their own. Posts are scheduled across the week, tagged with the right location, and made in Facebook and Instagram versions.
  • Combining and retiring pages: When I merged several brands under one name, I planned a four-week wind-down. An announcement post, a "last call" reminder and a final post pointed followers to the new page, with saved replies for direct messages.
  • Newsletter campaigns: I write and send email campaigns to my own lists, including trader updates. They go out from a system I own, with tags deciding who receives what.

Handover

  • Guides and tracking: Clients get short guides, checklists and a shared task tracker, so they always know what's been built.
